What is the Billbook Tool?
Most billing and accounting software in India is built for accountants — full double-entry suites with logins, subscriptions and a learning curve that a busy shop owner never has time for. That gap leaves lakhs of MSMEs billing on paper bill books, WhatsApp messages and memory, which means lost bills, forgotten dues and month-end chaos. The Billbook Tool bridges that gap: it works like the paper bill book every trader already understands, but adds the things paper can't do — automatic GST calculation, professional themes, a customer book, running totals of what you've received and what's still due, and a searchable history of every bill.
Unlike full billing software, there is nothing to install, no account to create and no monthly fee. And unlike cloud billing apps, your data never leaves your device: your business profile, party book and saved bills live in your own browser's storage, private by architecture.
Everything the Billbook Tool can do
- Business profile, saved once. Name, address, GSTIN, state, logo, bank details, default terms and your bill-number series — set them one time in the Business Profile tab and every new bill is pre-filled.
- Automatic bill numbering. Choose a prefix (BILL-, INV-, or anything) and a starting number; every saved bill advances the counter so your series stays consecutive — exactly what GST invoice rules expect.
- Party book. Tick "Save party" on a bill and the customer's name, address, phone, GSTIN and state are remembered. Next time, pick them from the dropdown and the bill fills itself.
- Full GST maths. Per-item rate, quantity, unit, discount% and GST%. The tool computes the taxable value after discount, then splits tax into CGST + SGST or a single IGST automatically based on your state versus the party's state, and rounds off the grand total.
- 5 bill themes × 8 colors. Stylish, Advanced GST (fully bordered, Tally-style), Billbook (solid color header), Modern and Simple — each in eight accent colors, so your bill matches your brand. Column toggles let you show or hide HSN, discount, phone, bank details, terms and payment status.
- Received & balance due. Enter the amount received and the payment mode; the bill prints "Received" and "Balance due", and your report totals outstanding dues across all parties.
- Saved bills & mini report. Every saved bill appears in a list with its total, balance and paid/due status, plus summary cards: bills issued, total billed, total received, total outstanding.
- Backup & restore. One click exports your entire billbook (profile + parties + bills) as a JSON file; import it on any other device to carry your data with you.
How to make your first bill in 2 minutes
- Open the Business Profile tab, fill your details once, and click Save.
- Back on Create Bill, enter the party's details (or pick a saved party), check the date, and add your items — description, quantity, rate, discount and GST rate per line.
- Pick a theme and color, enter any amount received, then click Save bill (stores it and advances the number) and Print / PDF to hand over or WhatsApp the bill.
Billbook vs Invoice Generator vs Quotation Maker — which one do I use?
All three make professional documents; they differ in workflow. The GST Invoice Generator is the fastest way to produce a single tax invoice with nothing remembered afterwards — ideal for occasional invoicing. The Quotation Maker creates price offers before a sale is confirmed (see quotation vs invoice vs proforma). The Billbook Tool is for regular billing: it remembers your profile and customers, numbers bills automatically, tracks part-payments and dues, and keeps history — the closest thing to real billing software that still runs free and private in your browser.
Who is this for?
Kirana and retail shops that want printed GST bills without buying software; wholesalers and distributors who bill the same parties repeatedly and need the party book; freelancers and service providers who want received-vs-due tracking; and any small business that has outgrown the paper bill book but isn't ready for full accounting software. When you do outgrow this tool — multi-user access, inventory, e-invoicing, GSTR filing — that's the point to move to a full package; until then, this does the daily job for free.
Your data, your device — and one habit to build
Everything is stored in your browser's local storage: nothing is uploaded, so there is nothing for anyone to leak. The flip side is that clearing browser data deletes your billbook, and bills saved on your shop PC won't appear on your phone. The one habit that makes this bulletproof: click Export backup every week or two and keep the file safe (email it to yourself or drop it in your cloud drive). Restoring on any device takes one click with Import backup.
